With Base, you can automatically send e-mails and/or SMS to your customers. This will help you save time and ensure high-quality customer service.
The system can thank the customer for their purchase, inform them about order status, send an invoice or receipt, request a purchase review, and much more. You can create templates independently, in any number.
When deciding to send e-mails to customers through Base, it’s recommended to first connect your email account to the system. If you don’t add your mailbox, messages will be sent from the Base server.
To the customer
- Before creating automation, add the necessary e-mail templates.
- Create a new automatic action (Orders → Automatic actions → +Add automatic action). In this example, it will handle sending an invoice to the customer.
- Select the event Status has been set: Sent.
- Add conditions The client wants an invoice: Yes and Invoice status: Issued. In this scenario, the automatic action will not be executed if no invoice is available for the order when the Sent status is set.
- Configure the Send e-mail action – select an appropriate pre created template, email account to send from, message recipient (with Client value, the message will be sent to the buyer’s e-mail address from the order) and Message type (depending on where you want the message to be visible).
To a specified e-mail address
Messages can be automatically sent not only to the e-mail address provided in the order, but also to any e-mail specified in the automation. This could be an accountant’s or warehouse employee’s e-mail.
For example, you can create an automatic action that sends an order printout to the warehouse, ensuring staff preparing the shipment receive all critical information.
You must first prepare such a printout in the Orders → Prints and exports section, then select it as an attachment to the created e-mail template.
- Create a new automatic action with an event, e.g., Status has been set: Pallets.
- Depending on which orders the action should apply to, you can add any conditions.
- Create a Send e-mail action. Remember to select an appropriate template and in the To field – the recipient’s e-mail address, such as the warehouse staff’s mailbox. If this message should not be visible to the customer, select Message type: Only e-mail message.
