Base warehouse configuration

The BaseLinker warehouse is a tool that primarily enables creating a product database and managing inventory.

 

When managing a warehouse in BaseLinker, you can also utilize strict storage control through storage documents.

The place where product data is stored in BaseLinker is called an inventory, while the warehouse stores location and stock information. You can assign multiple warehouses to each catalog. Each warehouse can show several locations and only one stock level.

Adding products

Products can be added to the BaseLinker warehouse in several ways:

Remember to regularly create warehouse backups.

An incorrectly configured import can cause irreversible data loss (e.g., deleting descriptions or overwriting them with a different value). Additionally, deleting a product category will result in the deletion of all products assigned to it.

You can create a backup by downloading a file with the warehouse in the Products → Import/Export → Export section (we recommend the default export to XML format). However, such an export does not include product images.

Listing offers

Products are visible for listing in the Marketplace → Listing module. Listing product offers from the warehouse is done in the same way as listing products from a store.

Synchronization

BaseLinker can synchronize stock levels and prices in offers according to the stock in the BaseLinker warehouse, as well as decrease the product’s stock level after purchase.

Currency

The BaseLinker warehouse doesn’t have a currency. This means that if a product has a price of, for example, 100, when listing an offer on Allegro.pl the product price will be 100 PLN, on eBay.de it will be 100 EUR, and on eBay.co.uk it will be 100 GBP.

In the settings of a given account in Integrations → Marketplace → Listing settings, you can set a price multiplier that affects the price in the offer listing form.

 

VAT, EAN, SKU and weight

EAN, SKU, VAT, weight retrieved in orders are the same as they were for the product in the warehouse at the time of listing the offer based on it or at the time of linking the offer to that product.

 

If you change the EAN, SKU, VAT, or weight of a product in the warehouse in the meantime, remember to refresh the offer’s link to that product. Otherwise, the old data will appear in new orders.

 

Linking between an offer and a product in the warehouse is based on the product ID. However, we recommend that each product also has its own SKU and EAN number.

The same SKU number assigned to several products can cause the following errors:

  • incorrect calculation of the total number of products in an order;
  • problems with transferring the order to an ERP system;
  • problems with transferring the order to an online accounting system.
