Shein Consignment

Shein Consignment is Shein’s fulfillment service operating in the fully-managed model, in which Shein packs and ships orders to end customers. The integration in Base.com allows you to receive Purchase Orders from Shein, prepare deliveries to Shein warehouses, synchronize stock levels, and print labels – all from a single panel.

In the fully-managed model, there are two related integrations in Base.com:

• Shein Consignment (marketplace integration) – responsible for listing offers.
• Shein Consignment (fulfillment integration) – responsible for Purchase Order fulfillment, deliveries to Shein warehouses, stock synchronization, and labels.

 

 

How to connect the Shein Consignment integration?

The Shein Consignment integration requires a prior connection of the Shein Consignment marketplace account, to which the fulfillment integration will be linked.

 

Step 1. Connect the Shein Consignment marketplace account

1. Log in to your Base panel and go to the Integrations section.
2. Click the green + Add integration button.
3. From the available list of integrations, select Shein, and then choose Shein Consignment from the available models (fully-managed model).
4. Click the green Connect Shein Consignment account button to link your Shein Consignment account to Base.com.
5. Confirm the connection on the Shein side – Base.com will be granted permission to communicate with your Shein Consignment account.
6. In the marketplace account settings, fill in the required fields, including Seller’s country and Billing currency.

 

 

Step 2. Connect the Shein Consignment integration

1. In the Integrations section, click + Add integration.
2. From the available list of integrations, select Shein Consignment – you will find the plugin in the Fulfillment category.
3. Fill in the account form:
   • Account name – any name displayed in the system to help identify the account;
   • Shein Consignment account – select the marketplace account connected in Step 1;
   • you can leave the remaining fields, including the environmental label materials field, for later (see the Environmental labels section).
4. Click Save.

 

 

After you save the fulfillment integration, Base.com starts periodically downloading Purchase Orders that are pending fulfillment on the Shein side. New POs usually appear on the orders list within a few minutes.

Product links to the Shein fulfillment warehouse are created automatically only after this integration is connected. If you import offers earlier, associate them with the inventory again (see: Common issues).

 

Step 3. Configure the warehouse and inventory

After you connect the integration, a dedicated warehouse for Shein fulfillment is automatically created in the Products → Settings → Warehouses section, with the same name as the integration.

Create a new inventory for this warehouse, or add the Shein warehouse to an existing inventory:

1. Go to Products → Settings → Inventories and click + Add inventory (or edit an existing one).
2. In the Available warehouses field, select both the source warehouse (your own warehouse) and the Shein fulfillment warehouse. Both warehouses must be in the same inventory – otherwise you will not be able to import Purchase Order items into a shipment.
3. In the inventory settings, set Stock reservation to No.
4. Save the inventory.

 

 

 

The Shein Consignment integration

Once the integration is correctly connected, after going to Integrations → Shein Consignment you will see the sections described below.

 

Fulfillment accounts

A list of all connected Shein Consignment accounts. You can edit, clone, or delete each account. The editing window contains all the fields available when connecting the integration. Above the table, there is a +Add new account button, which lets you connect another Shein Consignment account.

 

 

Created deliveries

A list of all deliveries created within the Shein Consignment integration.

 

 

Stock synchronization warehouse

In the Products → Settings → Warehouses section, a warehouse is created for synchronizing stock levels from the Shein warehouse into the Base.com inventory. You assign this warehouse to the selected inventory (see: Step 3. Configure the warehouse and inventory).

 

 

Listing offers and product links

In the Shein Consignment marketplace account, create a new offer or import existing offers into the inventory that includes the Shein fulfillment warehouse.

After you add or import an offer, the product link to the fulfillment warehouse is created automatically if all of the following are true:

• the Shein Consignment fulfillment integration is already connected and the correct marketplace account is selected,
• the product exists in the Base.com inventory,
• the Shein offer is linked to that product,
• the same inventory has the Shein fulfillment external warehouse assigned.

 

 

Without this chain (Shein offer → inventory product → Shein external warehouse):

• the Purchase Order card will not show the correct name, VAT, and EAN from the inventory,
• in the Import from orders window the item will be inactive.

 

Purchase Orders from Shein

After you connect the integration, a background task periodically checks Shein for new Purchase Orders and creates matching orders in Base.com. Only POs pending fulfillment are downloaded. The order source is Shein Consignment.

• Transaction ID on the order card in Base.com is the Shein order number (Purchase Order).
• The order card shows the list of products and quantities that should be sent to the Shein warehouse.
• Product name, VAT rate, and EAN are taken from the Base.com inventory – provided the product is linked to the Shein fulfillment warehouse. The SKU on the order comes from Shein.
• If the product is not linked, instead of the inventory name you will see a label with the Shein SKU code, and VAT and EAN will remain empty.

Shipments to fulfillment

Shipments to fulfillment let you prepare a delivery of products to the Shein warehouse. For Shein, one shipment corresponds to one Purchase Order.

Delivery creation is available in the Products → Stock control → Shipments to fulfillment section.

 

 

How to create a delivery to Shein fulfillment?

1. Click the green + Create fulfillment shipment button. A form will open in which you need to select:
   • Numbering series;
   • Month / Year;
   • Source warehouse – the warehouse from which the goods are shipped;
   • Fulfillment – the Shein Consignment account for which the delivery is being created;
   • Type and number of shipments;
   • Shipping method.
2. Go to the Items tab. The source warehouse and the fulfillment warehouse must already be selected.
3. Click Import from orders. A window will open with Purchase Orders from the last 30 days (the search lets you find older ones as well – by transaction ID, order ID, product name, or SKU).
4. Select one Purchase Order and the items you want to ship. For each item you can see the ordered quantity, the quantity already shipped in other deliveries, and the available quantity. Change the Quantity to send if needed.
5. Click Add selected order items. The system will fill in the items table.

 

6. Click Save and go to packing. The Shein shipping configuration window will appear.
7. If the items come from an import, the Order number field is already filled with the Purchase Order number and locked for editing – the available options will load automatically. If you added items manually, paste the transaction ID from the order card and click Load available options.
8. After the data is loaded, fill in the required fields. The set depends on the delivery type:
   • Sender address – always required;
   • Delivery type;
   • Courier – for courier delivery;
   • Pickup date, Chargeable weight, and package dimensions – when Shein handles logistics;
   • Tracking number – when you choose your own courier;
   • Estimated arrival time – for own delivery or door-to-door;
   • Source warehouse – the list from Shein;
   • Target warehouse – filled in automatically, read-only.

If you use environmental labels, fill in the material for the products or leave the values from the product additional field (see: Environmental labels). Then confirm the window.

 

 

9. Pack the products according to the warehouse requirements and click Save and register in fulfillment. In the confirmation window, fill in or leave the previously selected shipping method details and confirm the registration. After registration, the delivery can no longer be edited.
10. After registration, click Download documents. The file contains delivery labels and product barcodes, and optionally the Shein logistics label and environmental labels.

 

Delivery statuses

• Draft – the shipment to fulfillment is being edited;
• Packing – the shipment to fulfillment is being packed;
• Registered – the delivery is registered in Shein fulfillment; stock levels in Base.com have been reduced accordingly;
• In transit – the delivery is being transported to the Shein warehouse;
• Unpacking – the delivery is being unpacked at the Shein warehouse;
• Ready – the delivery is completed; stock levels on the Shein side should increase by the shipped quantities;
• Cancelled – the delivery has been cancelled.

 

Environmental labels

If you sell products that require environmental labels, you can assign the appropriate materials to them. They will be used when registering the delivery and printed together with the other documents.

 

Create an additional field with the list of materials

1. Go to the Shein Consignment integration account settings.
2. Next to the Field for storing environmental label materials option, click View details – the full list of available materials will be displayed. Copy it.
3. Go to Products → Settings → Additional fields and click Add an additional field.
4. Create a new additional field of the checkbox type and paste the copied list of materials as its values. Save the field.
5. Go back to the Shein Consignment account settings and select the newly created additional field in the materials field. Save the account.

 

 

 

Assign materials to products

In the product editing view, in the newly created additional field, select the appropriate materials. From now on, when creating a delivery, the materials will be automatically read from the product field. You can still correct them in the Shein shipping configuration window.

 

 

Common issues

The product in the Purchase Order is not linked to the inventory

On the order card the source is Shein Consignment, but the product does not have the name, VAT, and EAN from the inventory, or the import window shows the message: The order item product is not linked to the system inventory.

Check the following in order:

1. Whether the Shein Consignment fulfillment integration is connected and points to the correct marketplace account.
2. Whether the product exists in the Base.com inventory.
3. Whether a Shein offer corresponding to that product exists.
4. Whether the Shein offer is linked to the correct inventory product.
5. Whether the same inventory has the Shein fulfillment external warehouse assigned.
6. Whether the product has a link to the Shein external warehouse.

If the product is not in a Shein offer, there is no basis for creating the automatic link to the fulfillment warehouse.

 

The offer exists, but there is still no link to the Shein warehouse

Option 1 – associate the offer with the inventory again

On the offer, run the Associate with products from the inventory operation:

1. Select the correct inventory that contains the product.
2. Clear the existing product link and save the changes.
3. Open Associate with products from the inventory again.
4. Associate the product automatically or manually by entering the correct inventory product ID.
5. Save the changes and check whether a link to the Shein warehouse has been created.

Option 2 – import the offer again

1. Delete the Shein offer from Base.com.
2. Import the offer again.
3. Verify the link to the inventory product and the link to the Shein external warehouse.

 

I cannot import items or create a shipment

In the Import from orders window an item may be inactive with one of these messages:

• The order item product is not linked to the system inventory – the offer / product is not linked to the inventory.
• The product does not belong to an inventory containing both delivery warehouses – the source warehouse and the Shein warehouse are not in the same inventory.
• The product is not linked to the selected fulfillment – the product is not linked to the Shein external warehouse.

To complete the full path, all of the following must be true at the same time:

1. The Shein Consignment (fulfillment) integration is connected and points to the Shein Consignment marketplace account.
2. The products are in an inventory that has both warehouses: source and Shein.
3. Shein offers are linked to those products.
4. The products have links to the Shein external warehouse.
5. The Purchase Order has been downloaded to Base.com.
6. You select one Purchase Order per shipment.

Path: Shipments to fulfillment → add a shipment → Import from orders → Add selected order items → packing → registration → Download documents.

 

Summary

1. Connect the marketplace account – Integrations → + Add integration → Shein → Shein Consignment (requires the fully-managed mode on the Shein side) and fill in the seller’s country and currency.
2. Connect the fulfillment integration – Integrations → + Add integration → Fulfillment → Shein Consignment, selecting the marketplace account from Step 1. After saving, Base.com starts downloading Purchase Orders.
3. Configure the warehouse and inventory – Products → Settings → Inventories, source warehouse + Shein fulfillment warehouse, Stock reservation: No.
4. List and import offers – from the Shein Consignment account, after connecting fulfillment; links to the Shein warehouse are then created automatically.
5. Purchase Orders – downloaded periodically; the transaction ID is the Shein PO number; name, VAT, and EAN come from the inventory when the link is correct.
6. Shipments to fulfillment – Products → Stock control → Shipments to fulfillment; add items with Import from orders (one PO per shipment).
7. Environmental labels (optional) – an additional field of the checkbox type with the list of materials + selecting that field in the account settings + assigning materials to products.
